During the past months, we were preparing ourselves to welcome you with all the necessary extra care, so that your experience remains as unforgettable and unique to your senses as it was before. A rigid and detailed safety protocol was made, following all guidelines established by competent health authorities.

 

Therefore, we would like to share a few orientations with you:

SOCIAL DISTANCING MEASURES – A NEW APPROACH, BUT EVEN MORE UNITED

We respect the safe distance between one person and another

Our dining room was remodeled and prepared to receive the staff with the proper distancing between the tables

The workplace has been adapted to offer safety and comfort – the tables was separated with a minimum distance of 1.5 meters (5 feet) apart from each other and interspersed between occupied/empty

For everyone’s safety, staff members who experience Covid-19 symptoms will be dismissed and receive all necessary support for treatment

 

PERSONAL HYGIENE MEASURES – BY THE INDIVIDUAL, BY THE COLLECTIVE, FOR OUR WELL-BEING

Our precautions begin from the arrival at the hotel: we have a decontamination station with hand sanitizer, body temperature measurement, signage boards everywhere, ensuring the use of masks and waste bins

We know that care is personal, but the benefits of using a mask are collective. Everyone uses it and, in addition, we avoid transmissions to others.

The simple act of washing your hands considerably reduces the risk of contracting the virus. Our staff is encouraged to wash their hands regularly and also to keep the dispensers filled with products for washing them

We promote learning sessions through workshops with information on safety and prevention

The cleaning of the workplace enhances the integrity of the organizational climate and preserves the health of the staff. We will continue with the same zeal, but we have added new hygiene and disinfection practices (surfaces, desks, objects, phones, and keyboards), alcohol is available in all departments so that the staff can clean their items

We have adopted etiquettes to maintain proper respiratory hygiene conditions in the workplace – we offer protective masks and closed waste bins for disposal after use. We also reinforce good practices through posters and images in the back office

 

FACILITIES SANITIZATION MEASURES – SAFER AND HEALTHIER

We provide all the PPEs (Personal Protective Equipment) necessary for a safe workplace, in addition to training on how to use them and adequate sanitization procedures. This, in addition to ensuring greater durability of the equipment, also ensures the safety of the user, guarantying that the equipment is always in good conditions

Thinking about the whole process is fundamental. It is not enough to use the mask correctly, the disposal of them is extremely important. We have specific locations for disposing of masks and the waste pickup is carried out by companies that collect contaminated products. In addition to preventing the spread of the virus, we take care of the environment!

As a good practice, we suggest that the event organizer adopts the use of explanatory material about the hotel’s protocols and disseminates them before the event starts.

 

SOCIAL DISTANCING MEASURES – A NEW WAY OF BEING TOGETHER

We maintain a safe distance between people – 1.5 meters (5 feet) between them when accessing the event, as well as when registering

Body temperature measurement of the guests is mandatory and must be performed by the customer. If they do not have the equipment, we can assist with the hiring of the service by the hotel, at an extra cost

Participants must be instructed (by the event organizer) not to participate in the event if they experience symptoms. It is important to indicate that they rest, eat well, and keep hydrated. If in addition to coryza, malaise and nasal congestion, the participant has fever and cough, it is time to seek medical assistance and head to a health unit

Planning will guarantee the success of the event. The seats must be at least 1 meter (3 feet) apart from each other or being interspersed, maintaining the recommended safety distance

Thinking about the safety during meals, the facilities have a greater distance between tables and chairs, as well as 1 meter (3 feet) between one guest and another in case of queuing

 

PERSONAL HYGIENE MEASURES – ESSENTIAL PRECAUTIONS FOR HEALTHY EVENTS

We know that care is personal, but the benefits of using a mask are collective. The use of the mask is mandatory to all participants (staff, exhibitors, speakers). In addition to protection, we avoid transmission to others

Sanitizing the hands with alcohol or soap is cheapest and most efficient

way to reduce infections (Anvisa- National Health Surveillance Agency), therefore, it is utmost important to have paper towels, automatic soap dispensers and hand sanitizer available for the participants. The exhibitors must also have hand sanitizers available for the participants at their stands

 

FACILITIES SANITIZATION MEASURES – PROTECTING OUR HEALTH AND QUALITY OF LIFE

We suggest the use of a carpet soaked in sanitizing products to Access the event

It is essential that the dining area is in accordance with the current health standards (Anvisa)

To ensure safety, it is forbidden to sell food and beverages at the exhibitors’ stands

 

COMMUNICATION MEASURES – INFORM FOR EVERYONE’S SAFETY

We recommend online registry, because in addition to being faster, it is more practical. Aside from to providing safety, it avoids physical contact and agglomerations

We follow the norms and recommendations of the local authorities regarding rules for holding events. We establish a fast and effective communication with all who are involved to ensure the implementation of the communication processes in a timely manner for the events to take place

As a safety precaution, special care after the event is necessary. The hotel requests the client/organizer to keep the names and contact details of the participants for at least one month after the event

We request the organizers a general overview of all stages of the event, avoiding promotional activities that may cause agglomerations

 

 

Aiming to provide the maximum safety to all customers, staff, and suppliers, we have adopted specific procedures for every single facility:

 

 

RESTROOM AT THE EVENT SPACE

As a hygiene and safety measure, all restrooms will have enhanced cleaning and waste will be removed more frequently

Interspersed sinks and urinals will be established to maintain a safe distance

 

FOYERS

The cleaning of the foyer, which has always been done with excellence, will have its routine even more enhanced

We provide dispensers with hand sanitizers

The masks can be discarded in waste bins specific for this purpose

 

ENTRY TO THE EVENTS AND ESCALATORS

For everyone’s safety, we will provide hand sanitizer at the entrance of the events

For individual and collective well-being, the use of the mask will be mandatory in order to access the event

We ask the event organizer to provide masks for the customers. The hotel, as a backup, will have masks for sale, if necessary

The stairways will have floor markings to avoid agglomerations

Since the escalator have a large flow of people during the events, they are constantly sanitized

The elevator that gives access to the event is available, but with an adequate limitation on the number of people and is also equipped with a hand sanitizer dispenser

 

AIR CONDITIONING

We have always been extremely careful with the air conditioning. We are aware of the importance of preventive maintenance and proper cleaning, which helps reduce the emission of pollutants in the environment. At this moment, in addition to the practices already adopted in our routine, we added others:

Early replacement of the FAN COIL’s filters (PMOC deadline), in addition to the execution of the PMOC (Operation and Control Maintenance Plan), which is a mandatory item by the ANVISA NBR 1053

Replacement of the G3000 filters for G5000 filters which have a larger filtration system

Daily cleaning of the air conditioning system (twice a day) with sanitizing product solution (the same product used to clean the rooms)

During every event, the ventilation system will be functioning 24 hours a day to ensure an efficient filtration system

 

EVENT ROOMS/SPACE

 

The well-being of our customers has always been our top priority, which is why we have adopted new protocols at our event space. Successful events with maximum safety:

Enhanced cleaning

Hand sanitizers at the entrance of every room

Hand sanitizer at strategic locations inside the room, according to the demand (customer’s responsibility)

Assembly of the events: we work with 40% of the capacity of each room during this yellow phase of the pandemic, in the next phase, the green one; we will start to work with 60% of the space capacity

It is important to note that, in addition to the maximum capacity of each room, we have adopted the distance of one chair between one person and another at each assembly

Special attention to tablecloths and Lycras – washing and replacement after every use

Increased attention to high touch areas (door handles, escalators, handrails) and lavatories (actuators, taps and toilet seats)

During events that use tables and folding tables, the following items – pens, notepads, candy, etc - or any item that can increase the contact between people who share the space, are forbidden

Cleaning the chairs with sanitizing product

Constant cleaning of the reception desks

Room capacity table adjusted to the “new normal”

 

MEZZANINE

 

The Mezzanine event room is accessed from the hotel lobby.

For greater safety, we have adopted the following protocols:

Checking and ensuring the use of a mask at the hotel entrance. Upon arrival at the event room, you will be indicated to sanitize your hands with hand sanitizer available in dispensers on site

Enhanced cleaning of the room and lavatories

Hand sanitizer in the front and back of the room

Assembly of the events: we work with 40% of the capacity of each room during this yellow phase of the pandemic and, in the next phase, the green one; we will start to work with 60% of the space capacity

EVENTS IN THE SUITES/ROOMS

 

Rooms and suites are accessed from the hotel lobby.

For greater safety, we have adopted the following protocols:

Checking and ensuring the use of a mask at the hotel entrance. Upon arrival in the room, we can enhance the sanitization with hand sanitizer dispensers on site

Enhanced cleaning of the room, furniture, and lavatories

Hand sanitizer available in the room

 

FOOD AND BEVERAGES

In addition to the usual menus, our staff developed lunch box options, respecting the dynamics of the event and safety protocols, inside or outside of the room

For convenience and safety, the lunch box must be arranged on a table or counter so that the guests can pick it up directly or we can provide the service for each participant

Our highly qualified and trained hotel staff will replenish the items, following safety and hygiene protocols

Coordinated intervals between groups manage the circulation of people

Our exclusive buffet or plated service will be carried out with Unique quality, following all the new protocols – meals ready for consumption or already plated; buffets with servers and glass shields

Through high quality control, we will provide sanitized dishes and cutlery which can be used by each participant or be replaced for disposable utensils

Events are marketed in order to avoid having more than one customer at the foyer during coffee break hours. If we have more than one event per day, we will suggest different starting and ending hours

To ensure quality control of the new safety and sanitization protocols, the entry of food and beverages from outside the hotel will not be allowed for consumption at the stands, for example

 

CLOAKROOM/STORAGE ROOM

The event organizer/customer will be responsible for the use of the cloakroom/storage room. We suggest not using printed out tickets

The cleaning of the space will be enhanced at the entrance, during the event and during the exit of the event, following the safety protocols

 

PARKING

Our valets are trained to follow personal and vehicle hygiene protocols, cleaning the door handle, seat, steering wheel, and shift lever when entering in the vehicle and returning it

 

AMBULANCE AND FIREMEN

The ambulance service and the firemen must be able to follow hygiene and safety measures

Part of our new protocols is the constant sanitization of the first aid post

 

IMPORTANT MEASURES DURING AND AFTER THE EVENT

Assistance for the participants will occur during all stages of the event. If someone develops symptoms during the event, the hotel must be informed, and the person will be referred to a health facility

Post-event communication is of utmost importance if a participant tests positive. Everyone must be informed in order to prevent the spread of the virus

 

Tending to suppliers and assemblers when they arrive at the hotel

 

SUPPLIERS/ASSEMBLERS

In order to have more control, access to the docks must be done respecting the schedules (so that we will not be unloading materials at the same time we are receiving a food shipment, for example) and hygiene protocols for trucks, cars and suppliers

This sanitization is the supplier’s responsibility and also the hotel’s, as the venue of the event. We will have a person responsible for this control

Social distancing must be respected, following the delimited areas (markings on the floor) on the ramp and on the docks, for people to wait for entry

The suppliers that access the docks are subjected to body temperature measurement. If a feverish state is detected, she/he will be prevented from continuing his work and we will recommend that he seeks assistance at the nearest basic health unit

Entering without a mask is not allowed

The identification tag must be handled only by the person who will use it. The hotel employee at the docks should not pick it up and deliver it to the supplier, therefore avoiding the risk of contamination

The garbage disposal will be done with maximum safety. We provide our staff with all the PPEs for handling the garbage

 

ENTRY TO THE EVENT SPACE BY SUPPLIERS/ASSEMBLERS

We will respect the distancing rules through a single queue and a larger space in the corridors

The suppliers/assemblers must use gloves, masks, alcohol, or other disinfectants

These utensils must be changed after every use or after four hours of use

For everyone’s safety and control, it is forbidden to use the hotel cafeteria at this time, as well as food brought in from outside the hotel. All meals must be done outdoors

The lift platform (Genie lift) may be used if sanitized before, during and after use

Audiovisual equipment must be cleaned before, during and after use (in the case of hotel equipment, our own team will do so. In the case of outsourced equipment, the third-party team will be responsible)

The same applies for cables (equipment inside the rooms and equipment hooked up to our generator) and computers

The assembly must occur only inside the rented space, avoid spreading items in areas that were not rented out by the customer

Cleaning must be enhanced before, during and after the assembly

The cooperative must provide the hygiene and safety PPEs

 

SERVICE ELEVATOR

The elevator is limited to one person at a time

The use of the mask is mandatory and hand sanitizer dispenser is available
